Minutes from the April board meeting.


Thursday April 17th 2008    Luke and Whitney’s house       the meeting was called to order by Elaine at 7:05

The minutes from the last meeting were read and approved.

Elaine let us know that there is about $1,300.00 in the treasury

Ann brought the distribution lists and routes for the newsletter.

Whitney was concerned that the newsletter was low on content. She feels like she filled it in pretty well

Nathan shared a report about the progress of the Garden committee.  The members of the committee are Stuart Reed, Tim McLeod, Ann Mataczynski, Casey Allen, and Nathan Allen.  They have contacted GRUB, the 13th avenue group and the city and are planning a formal response to the grant. The location in question is part of the Madison Scenic Park area.  The next meeting will be on Sunday April 27th at 12:00 at the Swantown Inn.  They will have a better delegation of responsibilities at this time and it was agreed that Stuart do take the lead since this is his project for his classes at Evergreen.

The newsletter will go out for distribution this weekend. Whitney wanted to remind people that she needs to get the information on time to get the newsletter out on time. Please be sure to get articles to her in a more timely manner.

Whitney also reminded us that the bylaws say that the agenda for meeting should be published in advance. Elaine said she will try harder to do that.

Sam will look into obtaining signs to put in yards letting people know about the general meetings and any upcoming events.

The open mic was a success at the last board meeting. It was thought to move it to the end of the meeting next time instead of the beginning.

The next general meeting is Thursday May 8th.  It was discussed that we get someone from the city to let us know the process for getting traffic controls in our neighborhood.   Specifically speed bumps.  What exactly do we need to do to get something done about our traffic concerns.

Elaine will look into meeting at the United Methodist Church.

Nathan and Jessica will write a note to St Mike’s Church about our concerns about the parking situation.

It was also discussed about putting together a welcome to the neighborhood kit. It could include information on the neighborhood, some coffee, a Thriftway card, a welcome letter. Carol would be responsible for putting them together and Whitney will look into how to get the list of the new people in the neighborhood. Ann  said she would be happy to deliver them to their homes.

It was decided that the picnic will be on Sat August 9th this year.

The next board meeting is on Thursday May 15th at 7:00 at the Swantown Inn.

Garden Committee Meeting
Sunday April 13th 2008
Location: Swantown Inn

Attendees: Tim Mcleod, Ann Mataczynski, Casey Allan, Nathan Allan

1. Discussed all past correspondence with city.

2. Decided Stuart should be asked to be the lead of the committee, as he is getting course credit at Evergreen for his efforts.

3. Contact GRUBB about their contract with the city in regards to the Sunrise Park Pea Patch.

4. Start work on a formal plan that addresses the points outlined in the response to the grant application from 2007.

5. Put together a list of contacts with City, GRUBB, 13th Avenue Group and ENA Garden Committee Members. Include email and telephone details so we can get in touch with each other at short notice.

March 2008 board meeting minutes

Eastside Neighborhood Association
Monthly Meeting
March 20th, 7:00 PM

In attendance: Ann, Nathan, Casey, Sam, Tim, Whitney, Jessica

Elaine is really sick and unable to attend.
We went through introductions
We discussed old business. The garden committee didn’t get a chance to meet last month so no progress has
been made.  The first step is to just document everything.
SW Neighborhood has meetings twice per year and the entire neighborhood is plastered with signs.  We
discussed in depth doing something similar for our neighborhood meetings.
Elaine has been working on the website
Whitney talked about how we need to find ways to better read the pulse of the neighborhood. We all
agreed that if we could get more folks at the meeting that could help quite a bit.  We need to have a ‘hot
topic’ at each meeting.
Traffic – Whitney brought up traffic issues and we all agreed that traffic is something that everyone can get excited about.  We talked about previous efforts by the neighborhood to deal with the speeding on 11th. The city loaned us a speed sign to clock people’s speed.  It didn’t work well because it could be seen from the bottom of the hill and had to be manned at all times.  It worked as a speed deterrent, but not as a tool for elucidating the problem.  We agreed to discuss traffic at the next meeting.  Jess will write an article to gather information about traffic problem spots.

We also discussed problems with the church parking lot.  We agreed to write a letter to the church asking them to use the parking lot rather than the street.

Distribution – We discussed the distribution in depth and there are questions about whether we are hitting
every house.  Whitney suggested we use GIS to delegate the routes.  Jess suggested that although the routes
are variable, it may be hard to replace dedicated delivery folks if the routes are working.  In the end
we decided not to redo the routes right now, but Jess will talk to delivery folks to see if they think we
are getting everything.  We could also map out the hand written directions that we do have and take a
look to see if we have any gaps.
We also want to add “100% recycled paper” to newsletters. We should order some more Ralph’s cards. Whitney will email everyone the new basecamp site.
